Collecting phase is consisted of gathering everything that hooks your attention and is appropriate for your ongoing activity. Rectangles are your actions, diamonds are decision steps and stacks you’ll use as external memory (files, folders …) where your reminders will be stored. Arrows with continuous lines are your ongoing activity, arrows with broken lines represent your delayed processes and arrows with dotted lines will be used when reviewing the existing external memory. To repeat, you take item from “In-Basket” (top left), and process the same as you go through the questions. All ends when the item is either for external memory or require appropriate action to perform. Your most important actions are likely to end up in bottom right rectangle.

This as penultimate phase reminds what you still have to do. Here you’ll review what is in your Calendar (stuff that require necessary work) and as your further step, use the Next actions rectangle which will contain stuff which require attention as soon as possible. Weekly review will be used as in-depth review for all potential data that you will take action with, files stored in (In-Basket, Calendar, Next Actions, Project, Plans, Someday/maybe). This review is vital if you want to take control over you work. In other words, this means that you have control over your external memory and keeping the same updated. This GTD regular review is important if you want to develop sense of trust all over your system.

Getting things done Key Details – Do Phase (5)

Now that you have your To-Do list you may probably asking now what? Well here exist three models for you to decide what action to perform. I’ll explain the action which require attention at the moment.

  • Context:  What can be done here and now? Because, you can’t do same task when you are inside your office and when you have break time, what this context part wants is to limit your actions that actually want to be performed. If your “next actions” is with large number of tasks then what you have to do is classify them by context (office task, home task, etc.) and you’ll be able accomplish them all.
  • Time available: Do you have enough time to do them now? Duration of time for “next action” must be fitted with your available time. If you have limited time then work on your short tasks.
  • Energy available: Energy level inside you have big importance, you should aim your choice of task to match your physical and mental energy. You should do your routine job and leave the difficult ones for later, when you feel you have enough energy to focus and perform with much success.
  • Priority Level: Here you’ll give your context appropriate level of priority, time and energy you possess at the moment about which actions should be done.

… you are not the only person looking for how to stop procrastinating. It is natural to delay things as there are assignments that you simply do not want to do and ones that are of great importance but you feel tense to do anything close to them. This here is pretty much what I’ve needed to quit procrastinating, this here will be pretty much what you’ll need for getting things done when required.

    Great advice Goran! I don’t think many people will procrastinate if their boss is always monitoring them or in a way that employers will know how their employees are working even if they’re not in the office. I’ve read a couple of blogs talking about productivity and most people were promoting the use of some time monitoring software. Although, it is not really the perfect solution for this but a way to help employers and employees achieve a common goal which is to become productive at all times.       Hey John, thanks for appreciating my work here. What I’ve wrote here will pretty much help those who look for how to get things done when procrastinating. Time management is just a tiny fraction of whole procrastination issue. People who not procrastinate important tasks should be fine without monitoring their time, but people who are chronic procrastinators I think they need all available help out there for getting things done.
